A unique opportunity has arisen for an experienced Executive Assistant, with exceptional organisational skills and enthusiasm, to join a core team in the business, in a one to one support role, working with an Executive Director.

Executive Assistant Role Details

In this role you will provide one to one support to an Executive Director in the team, driving a wide variety of business support tasks including, office organisation, project management, deadline compliance and management of important documents and files.

  • Support the Executive Director in the leadership and management of a high performing and engaged global brand and communications team at the company’s London HQ
  • Perform all standard duties of an EA proactively and flexibly – diary management, travel, meetings, planning, expenses
  • Manage own projects, organise internal and external meetings (agendas, arrangements, meeting notes, follow up), senior team and departmental coordination
  • Coordination and management of all aspects of day-to-day activity through standard systems and processes such as HR records, objectives and budgets  
  • Prepare and design communications and presentation material for the Executive Director
  • Manage high volume of email correspondence, drafting responses and responding on behalf of Executive Director where appropriate
  • Manage action list for self and Executive Director and ensure all deadlines met
  • Liaise with other EAs to improve work practices and achieve efficiencies

The ideal candidate will have/be:

  • Significant experience at Executive Assistant level, working for a senior director, preferably gained in a dynamic corporate head office
  • A highly efficient and organised approach 
  • Completely trustworthy and discreet in handling confidential information
  • Fluent in all digital and technology applications relevant to the role
  • Able to multi task, prioritise and work to own initiative
  • Able to communicate and work effectively with a wide group of senior stakeholders, colleagues and contacts
  • Strong eye for detail and an excellent command of written English
  • Proactive, flexible and solutions-focused
  • Confident, enthusiastic and committed
  • Able to travel outside UK occasionally
